Event Manager
BYF is looking for an Event Manager for our 2023 Yoga Festival.
We are looking for someone with proven experience of planning and managing a live event. The Yoga Festival had around 1000 visitors in 2022.
The event Manager will take the lead for the Brighton Yoga Foundation in co-ordinating practical event management preparations for the summer 2023 Brighton Yoga & Wellbeing Festival between the Volunteer Event Team and Trustees involved in aspects of the event.
To build, train and oversee the formation and organisation of a 2023 Festival Management Team of volunteers to make preparations for practical event management preparations for the Festival.
To receive briefings from the Founder and Trustees following venue meetings and coordinate:
- establishing the Festival’s requirements from the venue;
- ensuring that the Foundation meets all the legal, regulatory, technical and contractual requirements set by the venue
To report back each month to the Brighton Yoga Foundation trustees on progress in organising the 2023 Festival, including identification of work, tasks and projects that need to be done but which are beyond the Festival Coordinator’s remit.
To liaise regularly with the Foundation’s Finance Director and trustees over the finances of the 2023 Festival and associated expenditure.
To supervise event team and assist where necessary to ensure that sufficient catering providers are arranged for the 2022 Festival and agreed arrangements with the on-site caterers, including drawing up proposed standard contracts & other documentation with them such as adherence to health & safety etc.
To supervise event team and assist where necessary to initiate and follow through contacts with previous sponsors, retailers and identifying potential new retailers. Draft and agree with Trustees the proposed standard contracts & other documentation such as adherence to health & safety etc.
To receive briefings from Trustees regarding the allocation of spaces at the venue to yoga workshops, yoga classes, therapies, meditation, talks, sponsors, retail spaces, food & drink providers and the overall shape of the event programme in terms of dates & opening/closing times etc., and ensure information is passed to event team for incorporation into event management plans.
To supervise event team and assist where necessary to establish a registration process for the 2023 Festival event. To supervise event team and assist where necessary all the necessary provision of equipment for all aspects of the 2023 Festival event including from the venue, and that sourced from other providers.
You need to be:
- Great with people - with the ability to recruit, motivate and organise a team of volunteers
- Able to plan ahead - with the flexibility to allocate some regular chunks of planning time between now and the event
- Confident to run the event - with significant input in the weeks leading up to it
Payment rates are negotiable.
